Getting started as a new training officer

What are my training responsibilities?

As a Training Officer, you will be responsible for planning and supporting your trainee’s training. It is important that you:

  • PLAN for the trainee before the trainee arrives
  • PLAN what the trainee will be doing when the trainee starts on the programme.
  • PLAN to maintain the quality of the training over the whole programme in terms of educational supervision, training opportunities and feedback.

What do I need to do before the trainee arrives?

When you are planning for your trainee and their training, it will be important that you:

  • Familiarise yourself with the curriculum (via the School’s Curriculum Library) so that you know what your trainee needs to achieve
  • Try and organise the work-based learning so that it relates to the MSc content and the STP curriculum. This is not always possible as workplace activities and tasks are varied and may not map exactly to the STP curriculum. However, it is worth remembering to take advantage of any opportunities as they arise.

What are the priorities when the trainee starts the programme?

  • Make the trainee feel welcome by organising in advance their ID pass, a place for them to sit and work with access to the appropriate software etc 
  • Ensure your trainee completes all employer mandatory training and employer induction 
  • The National School will also hold an STP Induction which the trainee will need to attend. 
  • Ensure that you know when your trainee will need to be at university, what they will be studying when, and what their key deadlines are. It can be useful to establish contact with the university. Your trainee is the best person to help you to establish who the University contacts are. This contact can enable you to check their academic progress regularly. 

What are my responsibilities throughout the trainee’s training?

  • Get to know your trainee well so that you can provide professional and emotional support and recognise when your trainee is anxious or stressed.
  • Meet with your trainee regularly, have 1:2:1’s to discuss progress and feedback to develop your trainee. COMMUNICATION AND COLLABORATION IS KEY.
  • Remember that a trainee is supernumerary and will be studying for their master’s degree, study time may be undertaken in the workplace for at least one day per week.
  • There should be regular communication and collaboration between you, the trainee and all those in the department involved with training.
  • Ensure that trainee understands the programme of workplace-based assessment and assessment outcomes, refer to the Curriculum Library to make sure you are familiar with the curriculum.
  • Ensure evidence is being submitted and documented on OneFile – including other trainers and assessors involved in the training.
  • Making sure there is adequate supervision for your trainee, providing access to training opportunities for your trainee.
